Astro Wraps Privacy Notice

Scope and operator

Astro Wraps & Graphics operates the Astro Wraps internal reporting and operations application. Alex is the application's executive-assistant interface. This notice describes information handled within the Astro Wraps application. The website's separate customer and SMS privacy notices continue to apply to those services.

Information used

When an authorized business administrator connects a source, the Astro Wraps application reads the business records needed for the enabled reporting features. These may include customer and vendor identifiers, invoices, payments, refunds, expenses, accounting reports, job records, and scheduling information. The Astro Wraps application also stores authorized user identities, access roles, conversation messages, source references, synchronization timestamps, and action records.

The Astro Wraps application uses connection credentials or authorization tokens to retrieve information. Credentials are not intended to appear in conversations or public pages. The application does not need full payment-card numbers or card security codes for its reporting functions.

Purposes

Information is used to calculate business metrics, reconcile source records, answer authorized business questions, maintain conversation continuity, identify operational issues, and investigate technical or data-quality problems. The initial integrations read information; they do not initiate payments or alter accounting records.

Access and service providers

Access within the Astro Wraps application is limited by the user's assigned role. Financial reporting is restricted to authorized financial users, including the business owner. Shared conversations must respect the permissions of every participant.

Information may be processed by the connected business services and the infrastructure providers used to operate the Astro Wraps application. Connecting a service does not make its records public. The Astro Wraps application does not sell business records or use them for third-party advertising.

The current reporting implementation calculates results without sending business records to an external AI model. If external AI processing is introduced, the operator will review the provider and data sent, update this notice as appropriate, and authorize that processing before activation.

Retention and disconnection

Normalized records, conversations and action history are retained for internal operational, troubleshooting and recordkeeping needs. Disconnecting a source stops future authorized retrieval; it does not automatically delete previously imported records or change the source system's records. An authorized administrator may request removal of imported information, subject to the operator's recordkeeping obligations and any applicable restrictions.

Requests concerning records in QuickBooks, Stripe or another source may also require action in that source system. Only an authorized representative may approve changes to the company's connection or business records.

This notice will be updated when material information-handling practices change. The effective date above identifies the current version.
